Time Card Calculator
Add up weekly hours from clock-in and clock-out times, minus breaks, and work out pay
Loading the tool…
Adds up daily and weekly hours from clock-in and clock-out times minus breaks, in hours and minutes and in decimal hours, and works out pay with overtime.
How to use
- Choose "Week starts on", "Clock" and "Period" (1 or 2 weeks), and switch on "Two shifts a day" for a split shift.
- For each day, type the "In" and "Out" times and the "Break (min)". Times like 9, 930, 9:30, 5p or 17:00 all work.
- Under "Pay and overtime", enter the "Hourly rate" and set "Overtime after, per day", "Overtime after, per week" and the "Overtime multiplier".
- Keep a copy with "Save as CSV" or "Print".
How it works
- Hours for a day are out time − in time − break. An out time earlier than the in time counts as the next day.
- Overtime is the time over the daily limit, plus the remaining time over the weekly limit; no hour is counted twice. Pay is regular hours × rate + overtime hours × rate × multiplier, before taxes and deductions.
- The overtime limits and the multiplier are your own settings. The calculator does not decide whether overtime is legally owed.
- Your times and settings are saved on this device.
Questions and answers
- How do I convert hours and minutes to decimal hours?
- Divide the minutes by 60 and add them to the hours. 7 hours 30 minutes is 7.5 hours, and 8 hours 45 minutes is 8.75 hours.
- How do I calculate hours for an overnight shift?
- Enter the times as they are, for example in at 10:00 PM and out at 6:00 AM. The out time is taken as the next day, which gives 8 hours.
- Are breaks included in hours worked?
- The calculator subtracts the minutes in "Break (min)". Working from 9:00 AM to 6:00 PM with a 60-minute break gives 8 hours.
- How is overtime pay calculated?
- By default, time over 8 hours a day or 40 hours a week is paid at 1.5 times the rate. At 20 an hour for five 9-hour days, 5 hours are overtime: 40 × 20 + 5 × 30 = 950 before taxes.
