Pick a situation — request, apology, decline, follow-up — fill in the blanks and copy a ready email
Loading the tool…
Gives a ready subject line and body for 55 common work situations, such as a request, a follow-up, an apology, a polite refusal or a farewell. Pick the situation, fill in the blanks and copy the email when you are not sure how to start or phrase it.
How to use
- Pick a situation from the list. Narrow it with a category button or search, for example for "apology" or "quote".
- Under "Tone", choose "Polite" or "Brief".
- Under "Fill in the blanks", enter values such as the recipient, your name, the subject and the deadline; they go straight into the email.
- Press "Copy subject", "Copy body" or "Copy all" and paste the text into your email app.
How it works
- The situations are grouped into 11 categories: requests, scheduling and meetings, follow-ups, sharing and reporting, apologies, saying no, thanks and congratulations, introductions and goodbyes, announcements, customer replies and hiring.
- Empty blanks show as [name] in yellow, and the page tells you how many are left. What you type is reused in every situation.
- Under "Openings and sign-offs" you can pick other lines for the start or end of the email.
- Your entries and saved situations stay in this browser on this device.
Questions and answers
- How do I write a follow-up email when someone has not replied?
- Start with "Following up for a reply" in the follow-ups category; if there is still no answer, use "Second follow-up". Fill in the deadline so the email says when you need the reply.
- How do I start an apology email at work?
- The apologies category has separate emails for a slow reply, a mistake, an email sent in error and a missed deadline. Where an email has a "Reason" blank, enter the real reason there.
- How do I politely decline a request or proposal?
- Under "Saying no", choose declining a proposal, a request or an invitation, or telling a supplier they were not selected. "Brief" gives the same message in fewer words.
- What should I check before sending?
- Check names, dates, attachments and facts once more. After pasting, edit the text freely in your email app.
